Merging the accounting of physical and online sales points into modern, highly automated accounting and other management processes.

⸻ Success story

Challenge

  • Connect the accounting software with the cash registers in six physical stores, the online store and other sales channels.
  • Organise accounting processes so that they are affected as little as possible by the human factor (staff turnover, errors) and the manager can see results in real time.
  • Build a system in which business administration costs change only minimally as the business grows.

Situation

The company, operating for more than 10 years, sells goods in store and online and provides services. It has established processes and plenty of data, while some methods and tools no longer meet today's needs.Making a change in such a company is not easy, so first the data in the company's existing, interconnected systems had to be analysed and cleaned up, internal processes re-aligned and an accounting methodology chosen that would allow the manager to analyse the business from the required angles.

Solution

  • Accounting processes streamlined.
  • Data cleaned up.
  • Accounting methodology prepared.
  • The cash registers in 6 physical stores and all online sales points were connected to the Rivilė accounting software via API, creating a system with real-time data exchange.
  • Modern scanners were introduced for stock-taking, picking and sales, ensuring maximum accuracy, speed and convenience – stock-taking or a sale can now be done simply with a smartphone.
  • Analytics tools (Power BI) were set up, so the company's performance is visible in real time.
  • Bookkeeping is maintained.

5x

5x less time spent on accounting, warehouse management and data analytics

Having studied the company’s operations and growth plans, we proposed an accounting methodology and processes and automated them as far as possible, so the system runs smoothly without human involvement – from importing goods into the accounting software and allocating additional cost of goods, all the way to the sale to the end customer. The system ensures continuous data exchange between the various sales platforms and physical stores, bank data is imported daily, and the company’s results are visible in Power BI in real time. The analytics allow the manager to see and plan cash flows and sales, and to analyse the profitability of products, services and individual sales channels. Thanks to this system, the company’s warehouse accounting now runs like a Swiss watch.

In our experience, similar companies whose processes are not organised and automated spend 5x more time on these tasks. Here, a system was built that ensures accounting costs do not grow as sales volumes keep increasing.
